    Overview

    Your merchant account can have multiple team members, each with a defined role that controls what they can see and do in the dashboard. This guide explains the four role types, how to invite team members, how to change or remove them, and how ownership transfer works.

    The four account roles

    Every team member on your merchant account holds one of these roles:

    Role Capabilities Use case
    Owner Full account control, including team management, settings changes, connection management, account deletion, and the ability to transfer ownership to another member The person legally responsible for the account, often the business owner or director
    Admin Manages team members and account settings, views all data, but cannot delete the account or transfer ownership Senior staff member who oversees operations and team access
    Editor Works with day-to-day data such as listings, orders, and reports, but cannot manage team members, change settings, or modify connections Staff member handling product uploads, inventory, or order fulfilment
    Viewer Read-only access to all data in the account, cannot make changes of any kind Stakeholder or consultant who needs visibility without the ability to alter anything

    Role assignments directly affect what appears in each team member's dashboard. An Editor will not see the Team or Settings areas. A Viewer can browse reports and listings but cannot edit them. This keeps the interface focused and prevents accidental changes.

    Inviting a team member

    Only an Owner or Admin can invite new team members to your account.

    1. In the dashboard, go to Account > Team.
    2. Select 'Invite team member' or the equivalent button.
    3. Enter the email address of the person you want to invite.
    4. Choose the role you want to assign (Owner, Admin, Editor, or Viewer).
    5. Send the invitation.

    The invitee receives an email with an invitation link. When they click the link and accept, they are added to your account with the role you assigned. Their dashboard access is immediately active at that role's permission level.

    If the invitee's email address is already associated with another merchant account, they will be prompted to switch between accounts or create a separate identity. Email addresses must be unique per account.

    Changing a team member's role or removing them

    An Owner or Admin can modify any team member's role at any time:

    1. Go to Account > Team.
    2. Find the team member in the list.
    3. Select 'Edit' or the options menu for that member.
    4. Choose a new role or select 'Remove'.
    5. Confirm the change.

    Role changes take effect immediately. If you promote an Editor to an Admin, they gain access to the Team and Settings areas within seconds. If you demote an Admin to an Editor, those areas disappear from their dashboard on their next page load.

    Removing a team member revokes all their access to the account. They can no longer log in or view any data. This action is permanent unless you re-invite them later.

    Ownership transfer

    Ownership transfer is a distinct action separate from role assignment. Only the current Owner can transfer ownership to another team member.

    1. Go to Account > Team.
    2. Find the team member you want to make the new Owner.
    3. Select 'Transfer ownership' (not 'Edit role').
    4. Confirm your choice.

    When ownership transfers, the new Owner gains full control of the account, including the ability to delete it, transfer it again, or change any settings. The previous Owner becomes an Admin. This action cannot be undone immediately, so confirm you are transferring to the correct person.

    Ownership transfer is typically used when business leadership changes or when you want to hand the account to a co-founder or manager. If your account has no Owner (for example, if the original Owner left), contact support to restore account governance.

    Where team management lives

    All team member invitations, role assignments, and removals happen in one place: Account > Team in your dashboard. This is the same area where you manage billing, subscription, and other account-level settings.

    Success and practical outcomes

    When your team structure is set up correctly:

    • Each team member sees only the features and data relevant to their role, reducing confusion and mistakes.
    • Editors can upload listings and manage orders without accidentally changing account settings or removing team members.
    • Viewers can monitor performance and reports without risk of altering anything.
    • Admins can onboard new staff and manage day-to-day operations without needing the Owner's involvement in every task.
    • The Owner retains ultimate control and can audit, modify, or revert any change.

    If a team member leaves your business, removing them from the Team list immediately stops their access. No further action is needed.

    Summary
